Reports to: Head of Human Resources, Asia

Main purpose of the role:

The HR Advisor supports the Head of HR, Asia, in delivering comprehensive HR advice and adaptable services while promoting best practices to ensure alignment with firm policies, employment laws, and Law Society regulations. This role serves as a business partner to partners, business support managers, and employees across designated practice groups and business service functions in Asia, including Hong Kong, Mainland China, Singapore, and Japan.

Recruitment, Onboarding, and Departure Responsibilities:

  • Oversee the recruitment and selection process by assisting line managers in defining role and candidate specifications, coordinating recruitment advertising, engaging with external agencies, sourcing and shortlisting candidates for interviews, extending offers, and providing feedback to applicants.
  • Support and/or lead graduate and intern recruitment, as well as the development of trainee solicitors, in partnership with the HR Manager and Graduate Recruitment Partners.
  • Prepare and issue contractual documentation related to appointments, terminations, and employment variations, arrange pre-employment background checks, and ensure all onboarding administrative requirements for new hires are completed.
  • Ensure accurate and timely maintenance of the HRIS, now transitioned to Workday. Training will be provided, though a strong aptitude for systems is essential.
  • Deliver induction training for new employees and trainees, and schedule regular follow-up meetings to track and support their personal and professional development goals.
  • Take part in updating employee handbooks/policies/procedures in line with changes as advised by the Head of HR, Asia.
  • Conduct departure interviews to gather data to inform future retention strategies and continuous improvement initiatives.
  • Act as trusted advisor to Practice Group heads and Business Support Managers in providing strategic advice on talent management, team resourcing and succession planning.
  • Manage the administration aspects of client and international secondments which includes the trainee program.

Performance Management

  • Act as a source of expertise to provide advice, information and practical support to partners, managers and employees with sensitive and confidential issues including attendance management, capability, grievance, disciplinary, appraisal, organizational change, workforce planning, job evaluation and career progression in accordance with HR policies and procedures.
  • Undertake learning and development activities to support practice group objectives and ensure that professional development plans are maintained which includes performance planning and appraisal using the Online Performance Management system.
  • Support the Head of HR, Asia in the delivery of HR solutions to support workforce change including delivery of key projects.

Compensation and Benefits

  • Moderate and administer annual salary review by providing comprehensive management information and reports about the workforce, providing appropriate analysis and benchmarking for salary compensation and benefits.
  • Supervise the payroll process of new hires, changes and departures.
  • Schedule renewal and negotiations of related insurance policies (professional indemnity, MPF/ORSO, group life, medical and employees’ compensation).
  • Collect data and analysis reports for input into the HR budget as advised by Head of HR, Asia.
  • Make sure all aspects of compensation & benefits are in accordance with statutory requirements in relevant jurisdiction(s) including pension, leave, insurance, etc.

Law Societies / Government bodies Compliances

  • Manage the HK Law Society reporting
  • Oversee lawyer registrations renewals
  • Ensure all aspects of firm/lawyer registrations are in accordance with statutory requirements in relevant jurisdiction(s)

Qualifications:

  • University degree in Human Resources Management or a business-related discipline
  • Spoken and written English and Chinese is essential (Mandarin is highly desirable)
  • 4 years of experience in HR operations and advisory capacity
  • Strong affinity with systems and MS products (Excel in particular)
  • Attention to details and responsiveness in establishing priorities
  • Ability to work under pressure and with demanding stakeholders which require quick and accurate analyses of situations and provision of accurate and effective advice on complex and sensitive people management issues
  • Highly effective team working skills with an ability to collaborate with others and develop strong and effective working relationships
