Job Title: Regional Event Planning Manager (International Law Firm)

Our client is an International Law Firm based in Singapore, offering comprehensive legal services across various practice areas to clients in diverse sectors and industries.
About the Role:
As the Regional Event Planning Manager, you will play a pivotal role in orchestrating and executing a wide array of external events to enhance the firm's brand presence and foster client relationships. You will collaborate closely with internal stakeholders and external partners to ensure seamless event planning and execution.
Key Responsibilities:
- Plan, organize, and execute marketing events hosted or sponsored by the firm, ensuring exceptional attendee experiences and maximum Return on Investment (ROI).
- Serve as the primary lead for each event, liaising with the on-ground Marketing & Business Development team members as needed.
- Represent the firm on-site at events when required.
- Manage virtual events utilizing Zoom platform.
- Collaborate with Marketing and Business Development team members on event strategy, goals, and materials.
- Research and coordinate all aspects of events including venues, timing, catering, transportation, entertainment, billing, communication, etc.
- Negotiate contracts with venues, caterers, and other vendors ensuring compliance.
- Conduct post-event evaluations to measure client and participant satisfaction and ROI.
- Develop and manage event budgets, tracking and demonstrating ROI.
- Utilize Salesforce for running reports, managing lists, tracking RSVPs, and more.
- Establish event design and staging, including media needs, lighting, audio-visual, etc.
- Work with in-house design and communications teams to develop event themes and promotional materials.
- Manage relationships with trade organizations, local Chambers, conference organizers, and other third-party partners.
- Ensure relevant events are promoted across various platforms and channels.
- Implement best practices and policies for efficient event execution.
- Mentor Marketing & Business Development colleagues.
- Perform any other duties as assigned.
Requirements:
Required:
- 5+ years of event management experience, including simultaneous coordination of multiple high-level events.
- Proficiency in Microsoft Office suite, iManage, Salesforce, and other relevant software.
- Ability to work flexible hours, including weekends, and travel as needed.
- Proven experience in vendor contract negotiations, with a focus on hotels and catering.
- Demonstrated commitment to promoting diversity, equity & inclusion, and Corporate Social Responsibility in events.
- Established professional network in Asia.
- Expertise in organizing virtual events, particularly using Zoom.
- Fluency in spoken and written English.
Preferred:
- Bachelor’s degree in business, communication, marketing, or related field.
- Experience with drafting communications related to events and familiarity with English and Chinese media platforms.
- Experience working across multiple time zones.
- Familiarity with legal services provided by a full-service corporate law firm.
- Supervisory experience
