Key Responsibilities:
- Assist with monthly payroll administration, including salary preparation, overtime tracking, and expense disbursements.
- Handle tax return filings (e.g., IR56B/E/F/G forms) and maintain compliance with Inland Revenue Department (IRD) regulations.
- Manage the enrollment, calculation, and timely allotment of Mandatory Provident Fund (MPF) schemes. Administer the company's group medical insurance plans for staff.
- Assist with the end-to-end on-boarding workflow for new hires (preparing employment contracts, workspace setup, IT coordination) and maintain updated personnel records.
- Handle daily trade matching and resolve any execution or settlement discrepancies in a timely manner.
- Perform daily cash, position, and portfolio reconciliation against prime brokers and the fund administrator to support the operations team
- Perform basic bookkeeping and accounting duties to support the firm’s financial workflow.
- Process vendor invoices, track corporate expenses.
- Ensure all office equipment (printers, scanners, phone systems) is well-maintained and coordinate with external vendors for prompt maintenance and repairs.
- Monitor and maintain an accurate inventory of office supplies, pantry stock, and stationery, placing orders proactively as necessary.
- Manage calendars, schedule appointments, and coordinate complex domestic/international travel arrangements for the CIO and CEO.
- Organize company events, team dinners, and complete miscellaneous ad-hoc tasks as assigned by management.
Key Requirements:
- Bachelor's degree in Business Administration, Human Resources, Accounting, Finance, or a related discipline.
- 2–5 years of relevant experience in office administration, HR & payroll, operations, or fund/financial services support.
- Exposure to payroll processing, MPF administration, tax filing, and employee onboarding activities is highly preferred.
- Basic accounting and bookkeeping knowledge with experience handling invoices and expense management.
- Prior experience within financial services, asset management, hedge funds, family offices, or investment firms is an advantage.
- Strong attention to detail with excellent organizational and multitasking abilities.
- Proactive, self-motivated, and capable of working independently in a fast-paced environment.
- Strong interpersonal and communication skills with a service-oriented mindset.
- Proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.
- Good command of both written and spoken English and Cantonese.
- High level of integrity, professionalism, and discretion when handling confidential information.
