Job Description
Key Responsibilities
- Manage client entities in line with company quality standards and turnaround requirements.
- Act as the main point of contact for clients, handling verified instructions and enquiries promptly and professionally.
- Oversee day-to-day correspondence and administrative matters, preparing responses independently or under manager guidance.
- Work directly with authorised signatories to execute instructions.
- Stay updated on new procedures, ensuring compliance with internal policies.
- Liaise with the compliance team to complete due diligence and KYC requirements.
- Maintain company records, registers, and minute books; ensure timely regulatory filings, including tax submissions.
- Manage accounts receivable, billing, and WIP in line with internal policies, coordinating with the finance team as needed.
- Ensure companies, partnerships, and regulated funds are administered according to constitutional and regulatory requirements.
- File updates to constitutional documents promptly and accurately.
- Monitor and maintain minute books and registers, escalating concerns to management when necessary.
- Prioritize workload effectively across client portfolios, daily tasks, and projects.
- Collaborate with Cayman and BVI teams for filings and clarifications.
- Liaise with auditors, lawyers, regulators, and government departments as required.
Qualifications & Experience
- Business degree preferred; accounting and tax knowledge beneficial.
- Minimum 4 years of corporate administration experience, particularly with Hong Kong entities; experience with BVI and Cayman entities is an advantage.
- Strong knowledge of Hong Kong corporate legislation.
- Proven ability to manage a large client portfolio.
- Familiarity with AML/KYC/CDD requirements.
- Hardworking, eager to learn, and committed to professional development.
- HKCGI or STEP student membership is desirable.
- Excellent organizational skills and attention to detail.
- Strong communication skills and ability to build effective client relationships.
