Administrative Assistant / Senior Administrative Assistant – Global Investment Firm (Singapore)

Job Summary:

A leading global investment firm is seeking an Administrative Assistant or Senior Administrative Assistant to support a dynamic multi-functional team in Singapore. This role requires strong organizational skills, attention to detail, and a proactive approach to problem-solving.

Key Responsibilities:

• Coordinate and schedule internal/external meetings, including logistics, agenda prep, and materials
• Manage calendars and facilitate seamless scheduling across global offices
• Arrange travel bookings, itineraries, and expense reporting
• Handle video/audio conferencing setup for global meetings
• Process invoices, expense reimbursements, and maintain administrative records

Qualifications:

• 3-5 years of administrative experience (more experience considered for a senior role)
• Strong organizational and time management skills
• Proficiency in Microsoft Office and other administrative tools
• Excellent communication and interpersonal skills
• Ability to multitask in a fast-paced environment

Responsibilities: 

• Handle full set of accounts and consolidation for regional offices
• Prepare the annual budget and forecast
• Manage external/internal audit to meet internal reporting and local statutory timelines
• Work closely with Tax team and advisors to handle corporate tax returns and tax queries
• Review the statutory returns of the licensed corporations and monitor the daily liquid capital requirements
• Coordinate with Compliance & Legal team for regulatory filings/ requests
• Assist in other business projects and ad-hoc requests

• Degree holder in Accounting/ Finance or related disciplines
• Qualified Accountant (e.g. with HKICPA/ ACCA/ CPAA) is a MUST
• 8+ years with Big 4 together with relevant accounting experience from sell/ buy side, corporate finance experience is an advantage
• Proactive and able to work independently in a fast-paced environment
• Able to work under pressure with good prioritisation and organisational skills
• Fluency in written and spoken English and Chinese (Cantonese and Mandarin)

About the Role:

As a Receptionist cum Assistant, you will play a crucial role in ensuring the smooth functioning of day-to-day office operations. You will serve as the primary point of contact for guests and visitors, demonstrating exceptional hospitality and professionalism. Additionally, you will provide administrative support to the team, assisting with various tasks to uphold efficiency and productivity within the office environment.

Key Responsibilities:

• Welcome all guests and visitors with promptness, warmth, and professionalism.
• Manage the reception area, ensuring it is tidy and presentable at all times.
• Assist in the setup and maintenance of meeting rooms, including arranging equipment and refreshments.
• Screen and redirect incoming calls, taking messages when necessary.
• Manage office meeting room bookings efficiently.
• Provide support for social and recreational activities within the office.
• Assist in organizing both internal and external company events.
• Arrange transportation for guests as required, maintaining a high standard of service.
• Coordinate procurement of office supplies, including stationery, pantry items, name cards, and first-aid supplies.
• Handle incoming and outgoing mail, as well as courier services and internal dispatch.
• Maintain an organized filing system to ensure easy access to important documents.
• Perform additional administrative duties or ad hoc task as assigned by the management team.

Requirements:

• Minimum of 2 to 3 years of relevant experience in a fast-paced office environment.
• Excellent verbal and written communication skills.
• Strong multitasking abilities with a keen eye for detail.
• Exceptional interpersonal skills with the ability to interact effectively with individuals at all levels of the organization.
